Rental Coordinator - Recreation
The City of Rogers is accepting applications for the position of a full-time Rental Coordinator. Highlights of this position is to provide leadership, coordination, and oversight of facility rentals and event operations at multiple City facilities and serve as the primary coordinator for reservations, event logistics, customer service, staffing, and facility readiness. Ensure rentals are executed professionally, safely, and in alignment with City policies while maintaining positive relationships with renters, vendors, and community partners. Four-year bachelor’s degree in social work, sociology, gerontology, recreation, or other related field required.

POSITION SUMMARY
Provide leadership, coordination, and oversight of facility rentals and event operations at Lions Central Park, including the 21st Century Bank Event Center, Sunroom and Picnic Pavilion, and the Activity Room. Serve as the primary coordinator for reservations, event logistics, customer service, staffing, and facility readiness. Ensure rentals are executed professionally, safely, and in alignment with City policies while maintaining positive relationships with renters, vendors, and community partners.
This position requires a flexible schedule, including occasional Tuesday through Saturday work assignments and early evening hours to support events and rentals, including rotating on-call hours during weekends.

Facility Rental Coordination: Manage all rental inquiries, bookings, contracts, and scheduling for Lions Central Park facilities and assist with the Activity Room
Event Planning and Support: Coordinate event logistics, including room setup, staffing, access, equipment needs, and post-event closeout
Customer Service: Serve as the primary point of contact for renters, providing guidance on facility use, policies, and event requirements
Facility Scheduling: Maintain accurate facility calendars and coordinate usage to maximize efficiency and availability
Staffing Coordination: Schedule and oversee part-time facility and event staff to support rentals and special events
Contract and Policy Compliance: Ensure rentals comply with City policies, rental agreements, permits, and insurance requirements
Budget and Financial Support: Assist with rental revenue tracking, deposits, invoicing, and financial reconciliation
Marketing and Promotion: Support promotion of rental spaces through City communication channels and outreach
Data Tracking and Reporting: Maintain rental statistics, usage data, and reports to support planning and operational decisions
Vendor and Contractor Coordination: Work with vendors, service providers, and internal departments to support successful events
Facility Oversight: Conduct pre- and post-event inspections, report maintenance needs, and ensure facilities are clean, safe, and event-ready
Administrative Duties: Prepare purchase orders, maintain supplies, assist with deposits and petty cash, and complete related administrative tasks
Coordinate services with other departments, including Community Recreation, Liquor, Public Works/Parks, and Police.

Work Environment

Physical Requirements
Must have the ability to read and discern visual images on a variety of media
Must have the ability to operate a personal computer and exhibit proficiency with Microsoft Word, Excel, Outlook, and PowerPoint software
Demonstrate keyboarding skills
Operate a 10-key adding machine or calculator competency; and familiarity with, copier, and multiple phone line telephone systems
Must be able to sit and stand for long periods of time
May occasionally have to lift or move 50 pounds or more
Minimum Requirements
Bachelor’s degree in recreation, hospitality, facility, event tourism, business management or other related field
3 to 5 years of hands-on experience in catering, event operations, or event coordination in lieu of a degree
Must have knowledge of basic Microsoft computer programs and scheduling software
Have familiarity with recruitment, training and supervision of part-time staff
Be able to work independently and proactively with minimal supervision
Valid Class D driver’s license and ability to drive between facility locations
